1) Terms of Service
Welcome to File Words (“File Words,” “we,” “us,” or “our”). These Terms of Service (“Terms”) govern your access to and use of filewords.com and any related services (collectively, the “Service”).
By accessing or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1.1 Eligibility
You must be at least the age of majority in your jurisdiction to use the Service. By using the Service, you represent that you meet this requirement and have the authority to agree to these Terms.
1.2 The Service (AI Translation)
File Words provides an AI-powered document translation tool intended for convenience and productivity. The Service is not a certified translation service and does not guarantee accuracy, completeness, or suitability for any purpose.
- No guarantees: AI output may be incorrect, incomplete, or inappropriate for context.
- Not professional advice: Not legal, medical, financial, or professional advice.
- Formatting limitations: We attempt to preserve formatting, but PDFs in particular may not reproduce perfectly.
1.3 Your Content and Responsibilities
You are responsible for the files you upload (“User Content”) and for ensuring you have all rights needed to submit User Content to the Service. You agree not to upload content that:
- Infringes intellectual property or privacy rights
- Is unlawful, abusive, or harmful
- Contains malware or attempts to disrupt the Service
- Includes sensitive personal data you are not authorized to process
1.4 Do-Not-Translate Markers
The Service may support rules such as preserving text within special markers (for example, double braces like
{{example}}) or preserving links. You are responsible for using markers correctly and reviewing results.
1.5 Payment, Pricing, and Taxes
The Service is pay-before-translation. Prices are displayed prior to payment and may depend on characteristics of your file (for example, letter-character count). You authorize us (through Stripe) to charge your selected payment method for the stated amount.
- Final charges: Your charge is based on the pricing presented during checkout.
- Third-party processor: Payments are processed by Stripe, and your payment data is handled by Stripe under their policies.
- Taxes: You are responsible for any applicable taxes, duties, or governmental assessments, unless we state otherwise.
1.6 Refunds
Because translation begins after payment and involves immediate processing costs, refunds are generally not provided except where required by law. If you experience a technical failure (for example, the Service fails to produce a downloadable file), contact us and we will evaluate the issue.
1.7 Acceptable Use
You agree not to:
- Attempt to reverse engineer, abuse, or overload the Service
- Use automation that unreasonably burdens our infrastructure
- Probe, scan, or test the vulnerability of our systems
- Use the Service for unlawful activities
1.8 Intellectual Property
We and our licensors own all rights in the Service (excluding your User Content). We grant you a limited, non-exclusive, non-transferable license to use the Service for its intended purpose.
1.9 Third-Party Services
The Service relies on third parties (for example, Stripe for payments and Cloudflare Workers AI for model inference). We are not responsible for third-party services, and your use of them may be governed by their terms.
1.10 Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
1.11 Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, FILE WORDS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM WILL NOT EXCEED THE AMOUNT YOU PAID FOR THE TRANSACTION GIVING RISE TO THE CLAIM.
1.12 Indemnification
You agree to defend, indemnify, and hold harmless File Words from and against claims, damages, liabilities, losses, and expenses (including reasonable attorneys’ fees) arising from your User Content, your use of the Service, or your violation of these Terms.
1.13 Termination
We may suspend or terminate access to the Service at any time if we believe you violated these Terms or if required for security, legal, or operational reasons. You may stop using the Service at any time.
1.14 Changes to These Terms
We may update these Terms from time to time. Changes become effective when posted on this page. Your continued use after changes means you accept the updated Terms.
1.15 Governing Law
These Terms are governed by the laws of your applicable jurisdiction, unless otherwise required by law. Venue and jurisdiction clauses may vary depending on your location and mandatory consumer protections.
2) Privacy Policy
This Privacy Policy describes how File Words collects, uses, discloses, and protects information in connection with the Service.
2.1 Information We Collect
- Files you upload: PDFs and DOCX documents you submit for translation.
- Derived text: Text extracted from your files for translation processing.
- Transaction metadata: Payment status, amount, currency, and a job identifier (payment details are handled by Stripe).
- Technical data: Basic logs (for example, error logs, timestamps, and IP address) to maintain security and performance.
2.2 How We Use Information
- To provide the Service (counting characters, translating, and delivering results)
- To process payments (via Stripe) and prevent fraud
- To troubleshoot, secure, and improve reliability
- To comply with legal obligations
2.3 How Translation Processing Works
When you request a translation, we extract text from your file and send translation requests to an AI model provider (for example, Cloudflare Workers AI). The provider returns translated text, which we reassemble into a translated document.
2.4 Payment Processing
Payments are processed by Stripe. We do not store full payment card numbers. Stripe may collect and process payment information under its own privacy policy and terms.
2.5 Data Retention and Deletion
We retain uploaded files and generated outputs only as long as necessary to provide the Service:
- Download-triggered deletion: When you download your translated file, the Service is designed to delete your upload and translation output after the download completes (best effort).
- Fallback retention window: If a download does not occur, we may delete files after a short retention period to reduce risk and storage costs.
Note: Deletion is best-effort due to technical constraints (for example, interrupted connections or server errors). If you need immediate deletion, contact us with your Job ID.
2.6 Sharing and Disclosure
We may share information only as needed to operate the Service:
- Service providers: Payment processing (Stripe) and AI inference (Cloudflare Workers AI).
- Legal compliance: If required to respond to lawful requests or to protect rights, safety, and security.
- Business transfers: If we’re involved in a merger, acquisition, or asset sale, information may be transferred.
2.7 Security
We use reasonable administrative, technical, and organizational measures to protect data. However, no system is 100% secure. You are responsible for choosing files appropriate for online processing and for avoiding uploading highly sensitive information.
2.8 Your Rights and Choices
Depending on your location, you may have rights such as access, deletion, correction, or objection to processing. To request help, contact us using the email below and include your Job ID.
2.9 Children’s Privacy
The Service is not directed to children, and we do not knowingly collect personal information from children.
2.10 Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Updates become effective when posted on this page.
